Remittance and AI

Zuora Smart AI reads remittance emails, uploads, and lockbox items, extracts all payment details, and pre-fills the payment application while honoring global, account, and customer-specific rules and documented limitations.

Reading the Remittance, how it works?

When a remittance arrives — by email, upload, or lockbox — Zuora's Smart AI reads the full message (subject, body, and any attachments such as PDF, image, spreadsheet, portal export, or text) and extracts everything needed to apply the payment: the customer, the invoices and amounts, credit memos, and any deductions or adjustments. It then matches these to your records and pre-fills the payment application page, so your team only reviews and submits.

Reading is tuned to each customer. Zuora applies extraction rules in three layers — a global default, your account's settings, and per-customer rules — with the most specific layer winning. Column names, identifier formats, and quirks unique to a customer (for example, "Doc No." means invoice number) are handled at the customer layer and are remembered for next time.

Email remittances

Supported Attachment formats are as below:

  • CSV

  • Excel [vnd.ms-excel, vnd.openxmlformats-officedocument.spreadsheetml.sheet, vnd.ms-excel.sheet.macroenabled.12]

  • PDF

  • Text files

The following are the limitations:

  1. When there are multiple conversations happneing in the same email thread, we would consider the latest infomration to always be the correct one.

  2. Outside the above mentioned file formats, we do not support reading from other file formats.

  3. We do not support direct mailbox integration. Just email forwarding form the current mailbox.

Lockboxes: Limitations

  1. The performance of reading information from checks are higher for typed in /printed cheques than for handwritten checks.

  2. Security: The check image is shared with the cashapps agent. This means sensitive information including the bank account number (part of the MICR code in the bottom of the chek) and the customer signature are fully visible to the agent.
