AR Sub-Ledger setup process flow

Learn about the AR Sub-Ledger setup process flow.

The Financial Period End process has been enhanced. After you enable AR Sub-Ledger, you must set an AR Sub-Ledger Start Date in the accounting rule. The start date must be a future accounting period’s start date.

After the date is set, accounting periods before the AR Sub-Ledger Start Date will continue to use the existing experience, while periods starting on or after that date will be managed in the new Period Close experience.

The AR Sub-Ledger feature helps you manage accounts receivable activity at a more granular level.

Note:

AR Sub-Ledger is currently supported for new tenants only.

AR Sub-Ledger depends on GL Segmentation 2.0. If GL Segmentation 2.0 is not already enabled in your tenant, it must be enabled before AR Sub-Ledger can be turned on.

You must complete these setup steps:

  1. Enable GL Segmentation 2.0. If GL Segmentation 2.0 is not yet enabled, complete this step first. For more information, refer to GL Segmentation 2.0 enablement.

  2. Enable the AR Sub-Ledger feature. The AR Sub-Ledger feature must be enabled by Zuora Support or Provisioning.

  3. Set the AR Sub-Ledger start date. Navigate to Settings > Finance > Configure Accouting Rules

    Select an accounting period from the dropdown list to define the AR Sub-Ledger Start Date. The dropdown displays all future open accounting periods. The start date of the selected accounting period will be used as the AR Sub-Ledger Start Date.

    If no accounting periods exist yet, the AR Sub-Ledger Start Date is automatically set when the feature is enabled.

    After the start date is set:

    • A background process runs automatically to calculate and summarize opening balances for accounting codes.

    • These balances are derived from existing journal entry history and apply to the first AR Sub-Ledger–managed accounting period.

    Note:

    Key considerations:

    • All historical accounting periods must be closed before the process can complete.

    • Ensure all journal entries are created before closing an accounting period, as entries created afterward may not be included.

    • The process will automatically wait until all required periods are closed.

    Allow time for this process to complete before moving forward.

  4. Review and validate results:

    • After processing completes, review the calculated starting balances.

    • At this time, results are not yet available through the user interface.

    • Validation or updates may require assistance from Zuora.

  5. Once setup and validation are complete:

    • Run a Journal Run and Trial Balance for the accounting period after the AR Sub-Ledger Start Date.

    • These processes will run as part of the new period close experience with AR Sub-Ledger enabled.
