Assign users to one or more Org units

Learn how to assign users to one or more Org Units within an organization and understand the differences between the Beta and EA behaviors.

Before you assign users to organizations, you must enable the org hierarchy. This step is mandatory because you must specify the associated Org Unit when you create a user.

User creation behavior and the resulting visibility differ between the Beta and Early Adopter (EA) releases.

Beta behavior

  • The Org Security or IT Admin can assign each user to only one Org Unit, whether it is a root, branch, or leaf Org Unit.

  • Users that you add to the root-level or parent organization, or at the branch level, automatically inherit access to all child Org Units of that root or branch in the Multi-Org hierarchy.

EA behavior

Compared to the Beta release, the EA release introduces the following changes:

The Org Security or IT Admin can assign a user to one or more Org Units, and no default inheritance applies. A user can have disparate access in the following ways:

  • A parent and one or more leaf Org Units, for example, Acme Corp. and France Org Unit.

  • A branch and some leaf Org Units, for example, Western Europe, France Org Unit, and Germany Org Unit.

  • A parent, a branch, and one leaf, for example, Acme Corp., Central Europe Org Unit, and Austria Org Unit.

After you create the org hierarchy, you can assign users to one or more Org Units, including the root organization.

Note: Your Org IT Admin typically performs this operation. As the Org Security or IT Admin, you can work with the security and operations teams to determine which users should have access to specific Org Units, including the root, branch, or leaf-level Org Units.
  1. Click your username at the top right and navigate to Administration > Manage Users.
  2. Click Add Single User.
  3. On the new user creation page, enter the basic information and complete the following fields:
    • Company (For Multi-Org enabled accounts): From the dropdown list, select all the preferred org units to which you want to add the user. You can select multiple org units here.

    • Zuora Platform Role: You can select a Zuora Platform Role and other roles for the user. You define and manage user roles on the Manage User Roles settings page.

  4. Click Save.
    The user is added to the list of users with the Pending Activation status.
