New capabilities on the Manual Journal Entries UI
Learn about the new capabilities available in the Manual Journal Entries UI, including custom fields, GL segment editing, attachments, history tracking, transfer to accounting, post-approval updates, and trial balance action visibility.
The Manual Journal Entries UI comprises various capabilities.
Custom fields
You can now configure and use custom fields on manual journal entries. Custom fields allow you to capture additional business-specific attributes on JE headers and lines, such as classifications, references, or tags required for downstream reporting and reconciliation.

GL Segment fields
The MJE interface now supports viewing and editing GL segment values on journal entry lines. This allows you to specify segment mappings directly within the MJE, ensuring that journal entries are correctly classified for downstream general ledger postings.

Attachments
You can now attach supporting documents to manual journal entries. This is useful for attaching audit evidence, approval justification memos, or source documentation to support journal entry creation.
These are the supported operations:
Upload one or more files to a manual journal entry.
View and download attached files.
Delete attachments (available for MJEs in Draft status only).

History
The History section provides an audit trail or complete history of changes made to a manual journal entry, including:
Creation events
Edits to header or line data
Status transitions (Draft → Submitted → Approved → Posted)
Approval and recall actions
User and timestamp for each event

Transfer to Accounting
You can now view and manage Transfer to Accounting settings directly from the MJE interface. This enhancement provides visibility into whether a manual journal entry has been transferred to accounting and allows you to manage the transfer workflow without navigating away from the MJE page.
Update Basic Information after Approval
Previously, once a manual journal entry was approved, no modifications could be made. With this enhancement, you can now update basic information fields on an approved MJE. This provides flexibility to correct non-material details after the approval workflow is complete, without requiring recall and re-approval.
The scope of editable fields after approval is limited to basic header information. Changes to line amounts or GL segments after approval are not permitted.
MJE in Action Required (Trial Balance)
Manual journal entries in the Draft or In Review status are now surfaced in the Action Required tab on the Accounting Period detail page during a trial balance run. This ensures that incomplete or pending MJEs are visible to the revenue accounting team before period close, prompting timely action.
This is the behavior:
When you run a trial balance for an accounting period, MJEs in Draft or In Review status for that period are listed in the Action Required tab.
This helps you identify journal entries that need to be submitted, approved, or cancelled before the period can be closed.
Action Required items are also available in reporting exports via Object Query (OQ).
Limitations
The following are the limitations of the MJE UI:
Attachment upload, edit, and delete operations are available only for MJEs in the Draft status.
Custom field availability depends on the fields configured in Object Manager for the journal entry object.
The new MJE UI requires the MJE approval workflow to be enabled. Users without the approval workflow enabled may see limited access to the enhanced interface. Contact Zuora Support for enablement options.
