Manual Journal Entries UI

The Manual Journal Entries UI introduces a structured review and approval workflow, expanded lifecycle statuses, and enhanced UI and API capabilities for managing journal entries.

Zuora Finance introduces enhancements to Manual Journal Entries (MJE) to provide greater control, transparency, and consistency in journal entry management. These updates introduce a structured review and approval workflow, improve auditability, and ensure alignment between the UI and APIs.

With these enhancements, finance teams can better manage journal entry lifecycles while maintaining flexibility and backward compatibility with existing integrations.

This was the previous behavior:

  • Manual journal entries were available only through APIs (no UI support)

  • Journal entries had limited lifecycle states (Created and Canceled)

  • No review or approval workflow

This is the current behavior:

  • A new UI enables users to create, review, submit MJE’s and view previously created MJE’s.

  • A review and approval workflow has been introduced with additional statuses (Draft, Under Review, Approved, Rejected)

  • APIs are enhanced to support draft management, review, approval, and rejection

Note:

To participate in the Manual Journal Entry (MJE) approval process, users must be granted the appropriate permissions by an administrator. The permissions required to create, edit, approve, and perform other Manual Journal Entry actions are available under the Finance Roles configuration.

New capabilities on the MJE UI

The following capabilities are now available in the Manual Journal Entries UI:

Description

Custom fieldsView and edit custom fields on journal entry headers and lines.
GL segment fieldsView and edit GL segment values directly on manual journal entries.
AttachmentsUpload, view, download, and delete file attachments on manual journal entries.
HistoryView the change history for manual journal entries, including creation, edits, approval actions, and status transitions.
Transfer to AccountingView and manage Transfer to Accounting details from within the MJE interface.
Update after approvalUpdate basic information on a manual journal entry after it has been approved.
Action Required in Trial BalanceDraft and In Review MJEs are surfaced in the Accounting Period Action Required tab during trial balance runs.
