Payment posting outcomes
Payment posting outcomes explain what happens when a payment posts successfully or when posting fails, including ERP posting limitations and recovery options.
Successful payment posting
A successful payment posting creates the corresponding records in your ERP:
-
The corresponding records include the payment, related invoices, and additional journal entries for adjustments, such as bank charges or write-offs.
-
If you change the invoices applied to a payment and post the payment again, the changes are reflected in your ERP.
-
Payment posting has the following limitations:
-
Some ERP systems do not allow you to edit a payment after it is posted.
-
Most ERP systems do not allow you to reverse or reset journal entries after posting. Therefore, you cannot modify payment adjustments, such as bank charges or exchange rate differences, after successful posting.
-
If you split one payment into multiple payments and post them, you cannot merge or repost them as one payment.
-
Failure payment posting
If a payment fails to post, use the following information to identify and resolve the issue:
-
An error message is displayed in the upper-right corner of the page and identifies the reason for the failure.
-
The error message can include details returned by your ERP system, such as an invalid account reference, a currency mismatch, or missing configuration.
-
After you resolve the issue, retry posting the payment.
-
To review previous attempts, download the posting log from the upper-right corner of the Payment Details page. The log includes timestamps, failure reasons, and other details to help you troubleshoot.
Checks before payment posting
Before you post a payment, review the payment details to verify it can post successfully. Use the summary section to confirm that the amounts and allocations are correct.
-
Verify that the applicable amount matches the total amount applied to the invoices. The Payment Applicable value at the top should match the Total Payment Made value in the summary box.
-
Confirm that the payment is fully applied. The Total Payment Balance value should be $0.00. This value indicates that the payment amount is fully allocated to invoices or credit memos.
-
Check the invoice allocation. For each invoice, verify that the Payment Allocated value matches the intended applied amount. The Invoice Amount Due value should be $0.00 when the invoice is fully cleared.
-
Review adjustments, if applicable. If the payment includes bank charges, exchange rate differences, or other adjustments, verify that you added them under Payment Adjustment before posting.
-
Confirm remittance, if required. If your account requires remittance before posting, attach the remittance to prevent a posting block.
