Sold To Contact Snapshot segment source

Use the Sold To Contact Snapshot as a GL segment source to ensure journal entries use point-in-time contact data from when the billing document was created.

When configuring GL Segments for journal entries, you can now select fields from Sold To Contact Snapshot as a segment source. The Sold To Contact Snapshot captures point-in-time contact information at the moment a billing document (invoice, debit memo, or credit memo) is created, ensuring that journal entries reflect the contact details that were valid at the time of the transaction, even if the contact is updated later.

Purpose of Sold To Contact Snapshot

The Sold To Contact on a billing account can change over time. For example, a customer may relocate from one region to another, or an account's Sold To contact may be corrected after invoices are already generated. Without the snapshot:

  • Journal entries would reference the current Sold To Contact details, which may no longer match the transaction context.

  • GL segment values derived from contact fields (e.g., Country, State, Region) could shift retroactively when contacts are updated.

By referencing Sold To Contact Snapshot, your GL segments are derived from the contact information as it existed when the billing document was created, providing:

  • Accuracy: Journal entries reflect the actual contact data at the time of the transaction.

  • Auditability: GL segment values remain stable and traceable to the original document context.

  • Consistency: Segment values align with tax calculations and e-invoicing processes, which also use the contact snapshot.

Note:
  • This feature is available with GL Segment 2.0.

  • Sold To Contact Snapshot is created automatically during billing document generation when the relevant billing rules are enabled.

  • If a billing document does not have a snapshot (for example, documents created before the snapshot feature was enabled), the system falls back to the current Sold To Contact.

  • The same fallback logic applies to Bill To Contact Snapshot if configured as a segment source.
