Zuora Mediation data retention policy
Understand how long Zuora Mediation retains transactional, operational, and configuration data.
Overview
Zuora Mediation stores several categories of customer data to support usage processing, billing, operational monitoring, troubleshooting, and auditability. This document defines the default retention periods for data generated and managed by the Mediation platform.
The policy is designed to balance customer operational needs with platform performance and storage optimization. High-volume transactional datasets are retained for a shorter period, while lower-volume operational metadata is retained longer to support historical investigations.
Unless otherwise required by applicable law, contractual obligations, or an active support investigation, data is permanently deleted once its retention period expires.
Retention principles
The Mediation data retention policy is based on the following principles:
- High-volume transactional and operational artifacts are retained for 90 days, which covers the majority of customer troubleshooting, reconciliation, and replay scenarios.
- Lower-volume operational metadata and execution history are retained for 1 year to support auditability, historical investigations, and customer support.
- Configuration data required for meter execution is retained for the lifetime of the tenant.
- Data reaching the end of its retention period is permanently deleted from the platform.
Data retention schedule
| Category | Object | Description | Retention period |
|---|---|---|---|
| Transactional | Mediation Events | Raw events ingested into Mediation. | 90 days |
| Transactional | Event Store Data | Persisted event data used for replay and investigation. | 90 days |
| Transactional | Sample Records | Sampled records generated for debugging and validation. | 90 days |
| Transactional | Error Records | Records that failed processing. | 90 days |
| Transactional | Summary Records | Aggregated meter execution summaries. | 90 days |
| Operational | Meter Run History | History of meter executions and run metadata. | 1 year |
| Operational | Uploaded Customer Files | Files uploaded by customers for processing. | 90 days |
| Operational | Zuora-managed S3 Files | Files stored and managed by Mediation for processing. | 90 days |
| Operational | Context Register Data | Runtime execution context used during meter processing. | 1 year |
| Operational | Prefetch Refresh Audit Records | Audit history of prefetch refresh executions. | 15 days |
| Configuration | Meter Definitions | Meter configuration and versions. | Life of tenant |
| Configuration | Prefetch Definitions | Prefetch configuration. | Life of tenant |
| Configuration | Connections and Credentials Metadata
Note: Secrets continue to follow Zuora’s existing credential management and security policies. | Connection definitions and related configuration metadata. | Life of tenant |
Transactional data
Transactional data represents customer usage processed through Mediation and constitutes the largest volume of platform data.
This category includes:
- Raw Mediation events.
- Event Store records.
- Sample records.
- Error records.
- Summary records.
These records support:
- Billing reconciliation.
- Customer troubleshooting.
- Replay and recovery.
- Processing validation.
- Operational investigations.
To optimize storage while preserving sufficient operational history, transactional data is retained for 90 days before being permanently deleted.
Operational data
Operational data captures execution metadata, processing history, runtime state, and customer-uploaded artifacts required to operate and support Mediation pipelines.
Meter run history
Meter execution history is retained for 1 year to support:
- Historical execution analysis.
- Customer support.
- Audit requests.
- Operational troubleshooting.
Uploaded customer files
Customer-uploaded files used as input to Mediation are retained for 90 days to support operational investigations, replay validation, and customer support.
Zuora-managed S3 files
Files managed by Zuora as part of the Mediation pipeline are retained for 90 days to support file traceability, reconciliation, and operational debugging.
Context Register data
Runtime execution context and processing state are retained for 1 year to assist with historical troubleshooting and execution analysis.
Prefetch Refresh audit records
Audit records generated during prefetch refresh operations are retained for 15 days, after which they are permanently deleted.
Configuration data
Configuration data is essential for the continued operation of Mediation pipelines and is retained for the lifetime of the tenant.
This includes:
- Meter definitions and versions.
- Prefetch definitions.
- Connection metadata.
- Processing configuration.
Configuration objects are deleted only when the associated tenant is deleted or otherwise decommissioned in accordance with Zuora’s tenant lifecycle policies.
Data deletion
At the end of the applicable retention period, data is permanently deleted from the Mediation platform and is no longer recoverable.
Customers should export or retrieve any data required for long-term reporting, audit, or compliance purposes before the applicable retention period expires.
Exceptions
Retention periods may be extended when required to satisfy:
- Legal or regulatory obligations.
- Contractual commitments.
- Active customer support investigations.
- Billing disputes.
- Legal hold requirements.
Any such exceptions are managed through Zuora operational processes.
