System guardrails for managing holds

When managing holds, keep the following system guardrails and capabilities in mind:

• Soft-Freeze Restrictions: The ability to apply or release holds during an accounting period's Soft-Freeze state is completely configurable in your system settings (Setups > Application > Soft Freeze, under the Actions type).

  • Manual Holds: If the Holds action is configured to lock during a soft freeze, the system may reject any manual attempts to apply or release holds through the UI until the freeze is lifted. However, users with the Override Soft Freeze role privilege may bypass these restrictions.

  • Mass Action Exception: If the Mass Actions action is configured to lock during a soft freeze, the system will block you from creating a new mass action batch or querying data while the freeze is active. However, the system does not block the execution of the batch. If a batch was already created and data was queried before the soft freeze was activated, a user can still execute (submit) that pending batch, and the holds will successfully process. To prevent unintended period-close impacts, always ensure pending mass action batches are either fully executed or deleted before initiating a period-close freeze.

• Mass Actions: Holds can be applied or released in bulk using the Mass Action tool. Mass actions only include hold templates configured with Allow Manual Release set to Yes (for release) and Allow Manual Apply set to Yes (for apply). Holds that do not allow manual release or apply are not available in mass actions. For further information, refer to the Manage mass actions topic.

  • Standalone Zuora Revenue: Mass actions support apply and release at the revenue contract, performance obligation (POB), and transaction line levels.

  • OTR: Mass actions support apply and release holds at the Revenue Contract (RC) and Transaction Line levels only. (POB holds are not supported).
